CASE STUDY

Cashel Travel – Hopetoun House

Situation

Cashel Travel were hunting for a supplier who could provide their client with a large temporary venue that had the ‘Wow’ factor.

Task

Accommodate 800 international guests for dining and dancing the night away with a distinctly Scottish theme.

Action

Design and deliver a 30-metre x 50-metre marquee glazed down two sides. A catering facility, heating, power, a stage, a dance-floor and of course a toilet facilities.

Result

The entire event from start to finish on-site took five days.

Both Cashel Travel and Hopetoun House have provided us with excellent feedback on our service coordinating the complete project.

We are extremely fortunate to work with such brilliant and reliable suppliers such as both Purvis Marquees and Hopetoun House. May we have many more large events together in the future!

Purvis left a very positive lasting impression on all the team here and we would be delighted to partner with them again on another build.  They were a pleasure to work with from start to finish.

The event was to be held in the grounds of the beautiful Hopetoun House. As soon as the call came in, the project management team immediately started work designing the events layout, and the client had a finished plan within two hours!

They were impressed!

Over the coming months, the concept grew. Various meetings took place with our clients and sub-contractors to discuss a range of bespoke options to give their international guests a first-class Scottish experience.

At the menu tasting, they loved the tartan table throws so we suggested that roof overlays and leg curtains could be made out of the same material for their event, we were given the go ahead and made it happen with some stunning results!

A 30m x 50m clearspan marquee, fully glazed down two sides, flat ivory roof and wall linings, green swags and carpet to match the company colour, Bruce Tartan roof overlays and leg curtains with ivory tie backs, rustic vintage furniture, stage, dancefloor and catwalk. Connected to the side were a 12m x 24m catering marquee and two 12m x 12m toilet marquees, fully finished with double luxury toilet units installed within.

We also provided all of the heating and enough power and distribution that we could have run Hopetoun House itself!

Purvis Marquees coordinated the complete construction phase and worked closely with the many other contractors needed to pull off an event of this scale. Our client was so relaxed that they did not even appear until the day of the event and the reaction was fantastic! They were all over the moon!

800 guests partied the night away with Purvis Marquees along with Heritage Portfolio overseeing everything in the background.

Hopetoun House was also impressed that we took great care to coordinate everything around a venue that was still open to the public, and with minimal disruption. Everything was cleared from the front lawn, and the site was left in a pristine condition, even running a magnet over the lawn to pick up any stray screws!

This is what we do best, large corporate events, event management and bringing a long-standing wealth of event experience that ensures our clients are relaxed and stress-free.

CLIENT FEEDBACK

Cashel Travel was given the challenge of coming up with a stunning venue for a Scottish evening for 800 guests close to Edinburgh.

None of the venues in the city could cope with the requirement of seating all guests and allow plenty of room for entertainment and dancing.

The client really liked Hopetoun House but even utilising all the areas of the building there was insufficient space for the catering, entertainment and staff.

At this point, we started considering the possibility of using a marquee and we made contact with Purvis. They made our end client feel very confident that they were the right choice of supplier to go with for this large and prestigious event.
From the first phone call to check their availability and throughout all meetings, they had an extremely friendly, professional & efficient way of dealing with this quite challenging job. Purvis was extremely accommodating in trying to help with all requirements which makes our job in the DMC much easier.

We were given a time frame for how long the set up would be, and this deadline was held with no delays. The end product and finishing touches were stunning.

It is safe to say that the group had a fantastic evening and all expectations were met both by Cashel Travel and our end client.

We are extremely fortunate to work with such brilliant and reliable suppliers such as both Purvis Marquee and Hopetoun House. May we have many more large events together in the future!

VENUE FEEDBACK

How did we do overall?

Overall we were delighted to partner with Purvis Marquees.  It was the first time we had welcomed Purvis at Hopetoun and the communication before, during and after the build was great.  Knowing that they are the preferred partners at other Heritage Venues made us feel in safe hands.  The perfectly manicured lawns at Hopetoun are part of the landscaped garden dating back to the early 17 hundreds so it’s our job at Hopetoun to preserve and protect this as best we can.

Did we look after the staff at Hopetoun?

Very much so, either James or John was always on site and ever so approachable.

Were we careful of the grounds and conscious of the fact that the venue was open to the public through the build?

Being open as a visitor attraction during a large scale build on the front lawns would undoubtedly come with some potential challenges.  Visitor and staff safety was at the forefront when considering the build and it never effected the visitor experience if anything it enhanced it by adding to the excitement.  The team were efficient, courteous and professional at all times.

How did we leave the site, as we found it before the build?

The site was left with virtually no evidence that there had been a huge marquee hosting 800 guests on it.  In September we expected some damage and knew that the lawns would take some time to recover due to the adverse weather, however, it was quite unbelievable that the marquee was erected and dismantled with very little evidence left behind.

Were we on hand through the event to support both you and Cashel?

James and John at Purvis took a lead role in the pre-planning stage which left very little involvement from the venue perspective.  They liaised with the agency directly and kept us up to speed on any changes that may affect us.

What was the lasting impression left with you all?

Purvis left a very positive lasting impression on all the team here and we would be delighted to partner with them again on another build.  They were a pleasure to work with from start to finish.
